Description

PURPOSE: The Staffing Manager leads daily operations of the Staffing Department, ensuring accurate scheduling, coverage, and aide support. This role manages the execution layer between the Director and Staffers-owning processes, accountability, and performance to keep operations running smoothly without constant escalation.


Qualifications:

  • 3-5+ years in staffing/scheduling operations (healthcare strongly preferred)
  • People-management experience and the ability to enforce accountability confidently
  • Strong operational judgment and priority management
  • High attention to detail and follow-through
  • Familiarity with scheduling/payroll system a plus
  • Exceptional interpersonal communication and customer service skills
  • Experience with EMR systems, Microsoft Outlook, Teams, and Excel is a plus

RESPONSIBILITIES (including, but not limited to):

This position does have supervisory duties

  • Oversee scheduling across all territories (weekdays, weekends, holidays)
  • Monitor call-outs, coverage gaps, and census changes
  • Serve as first escalation point for staffing challenges
  • Align coverage with patient acuity and operational priorities
  • Directly manage Staffing Coordinators
  • Assign territories, workloads, and priorities
  • Monitor performance and protocol adherence
  • Address issues early; escalate formal actions when needed
  • Audit schedules for correct aides, hours, locations, and designations
  • Ensure schedules meet department deadlines
  • Resolve discrepancies with Payroll/HR before processing
  • Ensure clear communication on schedules, changes, and expectations
  • Manage scheduling-related escalations
  • Enforce proper communication routing
  • Oversee weekend staffing execution
  • Provide escalation support as needed
  • Identify and resolve recurring issues
  • Enforce workflows, policies, and documentation standards
  • Identify inefficiencies and gaps
  • Partner with Director on process improvements and system implementation
  • Provide daily/weekly updates to Director
  • Flag risks and shortages proactively
  • Adhere to the practice of confidentiality with regard to patients, staff, customers and all aspects of the organization.
  • Ensure that Grace Healthcare Services' best practices are incorporated into all job activities/responsibilities.
  • Perform other duties as necessary.
